How does automatic matching work?

Modified on Fri, 2 Oct at 5:10 PM

As soon as you import a statement on Finances > Reconciliation, we pair up as much as we safely can, suggest anything we are nearly sure of, and leave the rest for you. There is nothing to click.

What gets matched for you?

  • Stripe payouts - a payout is one line on your statement but a group of transactions in your accounts (the takings, the fees, any refunds). The whole group is matched to the one line when it adds up exactly.
  • Same day - a bank line and one of your transactions with the same amount on the same date.

Both are certain enough to do without asking, and both can be undone.

What gets suggested?

A bank line and one of your transactions with the same amount, dated up to a week apart. This matters more than it sounds: a cheque clears days after you write it, and a card payment settles a day or two after you make it, so your date and the bank's date disagree by design. It is also the one kind of match a person should look at, so we do not make it for you. These appear under Suggested matches at the top of the page, with both descriptions side by side.

  • Accept matches that one
  • Accept all matches every suggestion in one go
  • Not this one takes you to the bank line's own Match to my records panel so you can choose a different transaction

Suggestions are worked out fresh every time the page loads, so if you match, edit or delete either side, the suggestion simply disappears.

What does the message after an import mean?

It tells you how many bank transactions were matched for you, how many of those were Stripe payouts, and how many suggestions are waiting for you to accept.

Why were some left alone?

Because two of your transactions were equally good candidates, and we will not guess. If you paid two suppliers £50 in the same week, choosing the wrong one would still balance to the penny, and you would have no way to spot it. We do not even suggest those. Match them by hand, where you can see the descriptions.

What does Look Again do?

Runs the same matching once more for anything you have recorded since the statement was imported. Choose it from the Manage menu after recording a batch of transactions.

Why can't it match on the reference?

Because banks do not put one on the statement. What your bank shows as the description is rarely what you typed, so matching is on amount and date, and the description is there for you to read when you match by hand.
