How do I split a transaction I have already recorded?

You recorded something as one line, say the takings from a disco or a payout that arrived as a single Ticket sales line, and now want to show it across several events, categories or funds. Open the transaction and split it there. You do not need to undo anything or record it again.

How do I do it?

  1. Go to Finances > Transactions and choose Edit on the transaction
  2. Choose Split this transaction, below the Event and Reference fields
  3. The first line starts with the transaction's current category, fund and event. Add a line for each part and give each one its own category, fund, event and amount
  4. The lines have to add up to the transaction's amount. The running total underneath tells you what is still to allocate, and Save stays greyed out until it balances
  5. Choose Save

The original transaction becomes the first line, keeping its id and its receipts. The other lines are new transactions with the same date, account, description and reference, and any receipt is copied onto each of them.

What happens to the bank match?

If the transaction was matched to a line on your bank statement, every line of the split is matched to that same bank line. The reconciliation still agrees, because the lines add up to what the bank line was matched with.

Can I split a Stripe payout line?

Yes. A payout's transactions are fixed in amount, date and account, but you can split one across events or categories as long as every line stays money in. The lines remain part of the payout, so Move this payout still moves all of them together and the payout still adds up to what Stripe paid.

Which transactions cannot be split?

  • An opening balance, which is edited on the account itself
  • Either half of a move between accounts or between funds
  • A paid expense claim or a refund, which take their amount from the claim or the refund
  • A transaction that paid a funding request
  • Anything dated in a financial year you have closed

Note: once split, each line is an ordinary transaction. There is no "unsplit"; if you got it wrong, edit the lines, or delete the extra ones and put the amount back on the first.
