Where can I see everyone that's volunteered for my event?

How do I view my volunteers?

Navigate to Reports > Volunteers. Here, you can view all customers who have signed up to volunteer for tasks you’ve added to your events.


How do I select a specific event?

By default, the Volunteers Report displays the most recently created event on your PTA Events / Clubs Hub / Charity Hub website.

To view a different event:

  1. Click Select Event

  2. Choose the year

  3. Select the event from the dropdown list



What information is shown in the Volunteers Report?

The report displays:

  • All tasks you have assigned to the event

  • All customers who have volunteered for those tasks

  • Indicators showing whether a volunteer is DBS checked or a First Aider



Why is my report grouped by task name?

By default, tasks are grouped by Task Name. When grouped, the only available export option is PDF, which can be accessed from the Manage menu.


How do I export the report to Excel?

To enable Excel export:

  1. Click Group By

  2. Select No Group




When tasks are not grouped:

  • Only tasks that have been volunteered for will be displayed


  • You can export the data to Excel, PDF, or Copy it in a tabular format

Exporting to Excel allows you to further manipulate the data outside the platform.



How do I delete a volunteer?

To remove a volunteer from a task, click the Bin icon next to the volunteer’s name.



How do I export the Volunteers Report to PDF?

From the Manage menu, select Export to PDF to download a PDF version of the report.


How do I email my volunteers?

To contact volunteers:

  1. Open the Manage menu

  2. Click Email Volunteers


You can choose to:

  • Email all volunteers, or

  • Email volunteers assigned to specific tasks only


Example:
If you need to send your Health & Safety policy to volunteers helping with the BBQ, select all BBQ Cook tasks. Only those volunteers will receive the email.


You can then:

  • Enter a subject and message

  • Leave out “Dear” and “From” – these are added automatically

  • Attach up to two files, consistent with other email forms across your PTA Events / Clubs Hub / Charity Hub website
