Recording a funding request from the school's form

Modified on Sat, 10 Oct at 12:31 AM

Give the school a form to fill in, and when it comes back, upload it. We read the project, the cost and the year groups off it, and you check the result.

Giving the school the form

  1. Go to Finances > Funding Requests
  2. Open the Manage menu and choose Download Blank Form

You get a Word document with your organisation's name on it: the project, who is asking, the date, the year groups it benefits, the estimated cost, what it is for, and a box for the head teacher or senior leadership team to sign it off. Send it to the school to keep and use.

Recording a request

  1. Open the Manage menu and choose Record a Request
  2. Upload the filled-in form, as the Word file, a PDF, or a photo of a printed copy
  3. Choose Record Request

We read the form and fill the request in for you: project name, who asked, the date, the amount, the description, the year groups, and the school's agreement if the sign-off box was completed. Check everything, especially the amount and the year groups, and save. The form stays attached to the request. The reading is done by OpenAI, which your organisation approved as a sub-processor when Finances was set up.

If there is no form, leave the upload blank and type the request in yourself.

What if it couldn't be read?

The form is still attached; you type the details in. A photo of a form filled in by hand reads less reliably than the Word file or a PDF, so ask the school to send the file where they can.

Recording the school's agreement

If the head teacher's name and date were on the form, the request shows as Agreed by school straight away. Otherwise, fill in Agreed by and Date agreed on the request when you have them, and save. Both are needed.

Attaching quotes

Under Form and quotes on the request, attach quotes or anything else that came with it. Choose Add another file to attach several at once. A request can hold up to ten files.
