Scanning tickets & vouchers

We've integrated with Qflow which is a third party app that gives you a best in class check-in solution that is secure, user friendly, 100% reliable and includes real time guest list search and ticket scanning.


You can use the app on up to 8 devices for all events for 12 months. Login details are sent to your event organisers so they can start scanning so make sure you set your event organisers before you sync your tickets.

As It's your own phones that you use for scanning with Qflow, there's a few things you'll need to consider:


1) You need the infrastructure in place to scan - adequate lighting, Wi-Fi or 4G if you wish to scan using multiple devices so they can sync data and prevent fraudulent use of the system

2) It takes a few seconds to scan each ticket so you'll need to get used to it

3) You'll need a policy in place to handle duplicate scans - what do you do if it flags up that a ticket has already been scanned?

4) What do you do when the weather is wet and you're scanning outside - e.g. Fireworks night? The last thing you want to do is get your own phones wet!


We actually only recommend scanning for an event that has more than 400 or so attendees as you can export a register of event attendees grouped by class that will easily facilitate the process of getting people through the door. To do this, browse to "Admin" > "Reports" > "Bookings" and click "Export Door Validation List" to download a PDF of bookings to use as a register.


Due to the costs of integration with Qflow, there is a small annual fee for organisations on our free plan depending on the number of pupils on the school roll or members within your organisation. The costs are as follows:

If you are on our premium plan then Qflow is included. You can purchase Qflow integration through our extras site.


To sync your tickets to Qflow, browse to "Admin" > "Reports" > "Tickets". If you have tickets to sync, click the "Sync to Qflow" button.  then "Sync Data" in the modal window.



It's also possible to sync Tickets, Vouchers or Grotto Boarding Passes to separate events so you can have individual teams running different parts of your event. When you sync to Qflow any event organisers in your event settings will be added as team members for scanning. Even if you have already synced you can add or change new team members by adding to or changing the 8 organisers in your event settings.


Note that the Qflow app is environmentally friendly and can scan QR codes on a device or a printed ticket.
